Senior Luxury Vacation Rental Specialist

BeautifulPlaces, Inc., (www.beautiful-places.com) a leading luxury short-term and extended stay vacation rental travel company located in Sonoma, California, is seeking a dynamic, experienced, customer-oriented Reservation, Sales and Customer Service Specialist to become an integral part of our team. The successful candidate will be warm and engaging, passionate about helping people, enthusiastic about the wine country and vacation rental travel, have demonstrably strong verbal and written communication skills, be highly organized and comfortable learning new software and technology.

In this role, you will be responsible for maximizing bookings from a variety of channels including: phone and email inquiries, on-line vacation rental sites, travel agents and travel wholesalers, previous guests, public relations outreach, and other partners and referral sources. You will also be responsible for pre and post stay client communications and customer service issues resolution. You will provide pre-arrival concierge assistance for guests such as recommending and arranging local activities and services e.g., wine tours, private chefs and restaurant reservations


  • Answer incoming calls promptly, in an attentive, courteous, and efficient manner
  • Answer incoming email inquiries
  • Identify client needs and options, and convert inquiries to booked business
  • Cross-sell additional services such as wine tours, private chefs and spa treatments.
  • Issue rental contracts, process client payments
  • Develop relationships with local wineries, restaurants, transportation provides and other local businesses to meet guest needs
  • Maintain accurate and organized files and reports of all incoming reservations requests via phone, email, fax and our online inquiry system
  • Rapidly develop expertise in company’s reservations management system
  • Communicate with housekeeping and maintenance to make sure guest needs are addressed
  • Perform administrative tasks, as required including report preparation and file maintenance
  • Update reservations and client databases
  • Maintain and update accurate property information on various on line vacation rental platforms.
  • Participate in local tourism and concierge gatherings


We are seeking an individual with the following skills and experience:

  • 3+ years of travel, lodging, vacation rental reservations and sales experience
  • Demonstrated ability to convert leads to bookings
  • Exceptional listening skills and ability to identify client needs
  • Excellent phone sales skills
  • Superb follow-up skills
  • Excellent written communication skills and use of email and text messaging
  • Knowledge of the Wine Country and other Northern California destination tourism activities
  • Ability to convey information and ideas clearly
  • Must work well in stressful, high-pressure situations
  • Always exude a warm and friendly demeanor
  • Able to thrive in an entrepreneurial environment
  • Excellent oral and written communications skills
  • Able to check in remotely and follow-up with guests and prospect inquiries on evenings and weekends
  • Able to work a flexible schedule to accommodate peak inquiry periods including early mornings
  • Must be able to work on Saturdays 1/2 or full day
  • Strong computer skills; fast and accurate with google email, google docs, Word and Excel and able to learn new software quickly
  • College degree desirable
  • Call center experience a plus
  • Experience in the luxury vacation rental niche a plus

Location: Work from home; preferably in the Northern SF Bay Area.
